Nightwave Arcade – Refund and Cancellation Policy

1. General Overview
This policy covers how we handle refunds, deposits, and rescheduling for all bookings at Nightwave Arcade.
When you book with us, pay for a session, or show up for an event, you're agreeing to these terms. Nothing personal - we just need to be clear upfront so there are no surprises later.
 
2. Deposits
If you're booking for a group of six (6) or more people, or if you're reserving the space for a private party or event, we require a non-refundable deposit of 50% of the total cost.
This deposit holds your date and time, and goes toward your final bill. It's not transferable to another person or another date, and we generally don't refund it - unless the situation falls under Section 6 below.
 
3. Cancellations by You
More than 48 hours' notice:
Cancel with at least 48 hours to go before your booking starts, and you can reschedule once at no extra charge.
Less than 48 hours' notice:
If you cancel within 48 hours of your booking time, you lose your deposit.
No-shows:
If you don't show up and don't call, we'll charge you the full booking amount.
 
4. Rescheduling
You can reschedule for free once, as long as you give us at least 48 hours' notice and we have availability.
If you need to reschedule more than once, there's a $25 CAD admin fee each additional time.
Any rescheduled booking has to happen within 60 days of your original date. If you need longer than that, just ask - management might say yes.
 
5. Showing Up Late
Your session starts and ends at the booked time. If you're late, you'll get whatever time is left - no refund or credit for the missed time.
If you're more than 15 minutes late and haven't called us, we might have to cancel your booking entirely, and you'll lose your deposit.
 
6. When We'll Give You a Refund
We don't hand out refunds for much, but here are the cases where we will:

  • Something breaks on our end: A real technical problem happens - like the power goes out, a VR headset dies, or a game won't launch - and we can't fix it on the spot.

  • We cancel on you: We have to cancel or move your booking for operational or safety reasons, and you can't make the new time we offer.

  • We double-charge you: Our system or payment processor makes a mistake and charges you twice or hits you with an error.

If any of these happen, we'll process your refund to your original payment method within 5 to 10 business days.
 
7. What You Can't Get a Refund For (Ever)
Some things are final sale, no matter what:

  • Deposits or prepayments for group events cancelled within 48 hours of the booking

  • Promotional deals, discounted gift cards, or time-limited passes

  • Snacks, drinks, merch, or any retail items once you've bought them

  • Any playtime you didn't use once your session has started
     

8. How Refunds Work
All refunds go back to the original card or payment method you used. We don't give cash for credit card or debit transactions.
Depending on your bank, it might take up to 10 business days for the refund to show up in your account.
 
9. Bookings Made Through Someone Else
If you booked through a third party - like a reseller, deal site, or promotional partner - you'll need to ask them for a refund. We can't help with that, and we're not responsible for what they decide.
 
10. Management Gets the Final Say
If your situation isn't covered here, management can still choose to approve a refund - or not. Whatever we decide is final.

12. Legal Stuff (Governing Law)
This policy falls under the laws of Alberta and Canada. If there's ever a legal dispute, it'll be handled in Alberta courts.
