Nightwave Arcade – Refund and Cancellation Policy

1. General Overview

This Refund and Cancellation Policy outlines the terms under which refunds, deposits, and rescheduling requests are handled for all bookings and services provided by Nightwave Arcade, operated by Grand Gadzookery Games Inc.

By confirming a booking, submitting payment, or participating in an event at Nightwave Arcade, you agree to the following policy.

2. Deposits

  • A non-refundable deposit of fifty percent (50%) of the total booking cost is required for group bookings of six (6) or more participants or for any private party/event reservation.

  • Deposits secure your booking date and time and are applied toward the final balance.

  • Deposits are non-transferable and non-refundable except where specifically stated under Section 5 (“Refunds Issued by Nightwave Arcade”).

3. Cancellations by the Customer

  • More than 48 hours’ notice: Bookings cancelled with more than 48 hours’ notice before the scheduled start time may be rescheduled once at no additional charge.

  • Less than 48 hours’ notice: Cancellations received less than 48 hours before the scheduled booking time will forfeit the deposit in full.

  • No-shows: Failure to attend a booking without prior notice will result in the full booking amount being charged.

4. Rescheduling Policy

  • Bookings may be rescheduled with a minimum of 48 hours’ notice, subject to availability.

  • A booking may only be rescheduled once without penalty. Additional rescheduling requests may incur an administrative fee of $25 CAD.

  • Rescheduled bookings must occur within sixty (60) calendar days of the original booking date, unless otherwise approved by Nightwave management.

5. Refunds Issued by Nightwave Arcade

Refunds will only be issued under the following circumstances:

  1. Technical Malfunction: A verified technical failure (e.g., power outage, VR system failure, or game launch issue) that prevents delivery of the booked service and cannot be resolved on-site.

  2. Cancellation by Nightwave Arcade: If Nightwave cancels or reschedules an event or session for operational or safety reasons and the customer cannot attend the new time offered.

  3. Duplicate or Erroneous Charges: If a payment error or duplicate charge occurs through our booking system or payment processor.

Refunds under these conditions will be processed within 5–10 business days to the original payment method.

6. Non-Refundable Items and Services

The following are non-refundable under all circumstances:

  • Deposits or prepayments for group events cancelled within 48 hours of the booking.

  • Promotional offers, discounted gift cards, or time-limited passes.

  • Merchandise, snacks, beverages, or other retail items once purchased.

  • Unused or partially used playtime once a session has begun.

7. Late Arrivals

  • Bookings begin and end at the scheduled time.

  • Late arrivals may result in reduced playtime without refund or credit.

  • Arriving more than 15 minutes late without notice may result in forfeiture of your booking and deposit.

8. Refund Method

All refunds are processed to the original method of payment.
Nightwave Arcade does not issue cash refunds for credit or debit transactions. Refunds may take up to 10 business days to appear, depending on the issuing bank or payment processor.

9. Third-Party Bookings

If a booking was made through a third-party platform, reseller, or promotional partner, refund requests must be directed to that provider and will be subject to their refund terms. Nightwave Arcade is not responsible for delays or decisions made by third-party vendors.

10. Management Discretion

Nightwave Arcade management reserves the right to review and approve any refund request not expressly covered by this policy. Decisions made by management regarding eligibility or amount of refund are final.

12. Governing Law

This policy is governed by the laws of the Province of Alberta and the applicable laws of Canada. Any dispute arising hereunder shall be handled in the courts of Alberta.
